About the Bellaire Chamber
The Bellaire Chamber of Commerce is dedicated to attracting and retaining members by offering programs and services that foster business growth across companies of all sizes. Its current slate of activities includes five annual community events, the summer "Music on Broad Street" concert series, and various business-focused offerings - all operating under an approximately $100,000 budget. As a non-profit, non-governmental membership organization, the Chamber boasts a robust contingent of over 180 members who drive its initiatives.


General Purpose
The Executive Director role is the professional face of the Bellaire Chamber of Commerce, managing day-to-day operations.

·         This salaried position (based on 15-25 paid hours per week year-round, with salary set by the Board of Directors' budget) reports directly to the Chamber President and Board of Directors.

·         As a non-voting Board member, the Executive Director must attend and actively participate in all Board meetings.

·         The Executive Director’s performance is evaluated annually by the Board, primarily focusing on fulfilling the listed duties while providing job and personal development guidance.

·         The core responsibilities of the Executive Director are to advance the Chamber's mission and annual goals as defined by the Board of Directors. This includes overseeing activities that support the Chamber's mission statement.

Responsibilities
The Executive Director role is the professional face of the Bellaire Chamber of Commerce, managing day-to-day operations.

General

·         Ensures excellent quality service and communication in person, via telephone and email communications and through online membership, local citizens, businesses and visitors.

·         Constantly upgrades abilities, quality and knowledge necessary for fulfilling the position.

·         Must be innovative, energetic and ready to engage the Board, current and new members.

·         Continually seeks opportunities to promote Bellaire area as a tourist destination.

·         Education: attends/participates in programs available and researches seminars and programs available to executive director, office staff and board for further training and education.

·         Works with other chambers to promote the area and works in whatever capacity needed by the Chamber.

·         Attends community organization Boards and Committees as identified by the BOD.


Administrative

·         Prepares and distributes agenda for BOD bimonthly meetings, while maintaining records of previous minutes and agendas.

·         Maintains financial stability of the Chamber and performs proper accounting practices, by overseeing the annual budget, monthly financial reports, accounts payable and receivable and with processing payroll for employees.

·         Manages the office staff and volunteers to maintain an effective, attractive way to communicate with employees, tourists and visitors.

·         Maintains documented up-to-date office procedures and maintains legal and historical file archives.

·         Maintains new web platform and locable accounts.

·         Manages proper staffing levels for hours of operation, timely mail and email correspondence.

·         Researches and executes new revenue streams for the chamber under the direction of the BOD.

·         Assists in the development of office procedures and practices, handling of mail and other correspondence and responds appropriately by mail or telephone and promotes security for all files, legal and historical documents.


Membership & Development

·         Recruits, welcomes and visits with new and potential businesses located in the area.

·         Visits and/or contacts all members in accordance with the membership recruit and retention goals.

·         Maintains a membership and prospect database within the new website locable program.

·         Introduces new community-driven Locable to members and all community members.

·         Leads the Annual Membership Drive including assisting with Membership Marketing materials (including application, outreach, and website). Must have and maintain basic and current knowledge of the businesses and communities of Bellaire and Antrim County.

·         Encourages members to consider additional enhancement opportunities with their annual chamber membership.

·         Approves sponsorships and annual awards earmarked for recognizing key civic and community contributors. For example: Most improved Business, Business Person of the Year, Most Significant community Project, Volunteer of the Year, etc. Fund-raising; coordinates sponsorships & donations and development of ideas.

Events

·         Acts as a liaison with governmental agencies including the Village of Bellaire and Antrim County.

·         Monitors professional, educational and legislative developments at a local, state and national level and coordinates Bellaire Chamber of Commerce activities in response to these developments.

·         Champions fund-raising efforts. Works with the BOD to identify, select and plan festivals, special events and activities that promote local business, community and civic functions. Success of these events is measured by remaining within budget spending constraints and accomplishing fund-raising goals.

·         Represents the Chamber at various community events, meetings and special appearances while maintaining the highest level of professionalism.

·         Plans/coordinates/works at all festivals and chamber events with assigned committee, and monitors/coordinates updates to Chamber website.

·         Coordinates volunteers and schedules for events.

Marketing

·         Composes, types, and edits correspondence reports as needed. Oversees marketing employee for all tasks related to promoting the chamber as to content, accuracy, and completeness.

·         Promotes Tourism.

·         Coordinates annual brochure/membership directory, champions the development and distribution of the regional Life on the 45th Activities Guide. Oversees an informative, attractive and accurate Chamber website.

·         Maintains the Kiosk located downtown Bellaire, with current information, weekly from April through November.

Requirements

  • Post-secondary education preferred.

·         Proven experience coordinating and event planning.

·         Ability to effectively communicate through written materials and public speaking.

  • Proficient in MS office, excel and knowledge of modern office practices and procedures including mail merges and database management.
  • Knowledge of basic accounting and QuickBooks software.
  • Knowledge of Wordpress CRM websites.
  • Must have the ability to interact with the public and fellow employees in a tactful and pleasant manner and must be able to handle stressful situations.
  • Experience of non-profit and financial management and development.
